Odoo repairs give manufacturers a practical control point for returned equipment, warranty claims, and chargeable service work. A returned product can involve sales, warehouse receiving, technicians, finance, and customer service. Odoo connects these activities through Inventory transfers, Repair Orders, Sales Orders, and invoicing records.
Consider a Canadian manufacturer of commercial water pumps. A customer reports an intermittent fault in a serialized pump delivered under Sales Order SO0421. The team must receive the right unit, diagnose the problem, decide whether warranty applies, replace a component, record labour, bill any non-warranty work, and send the repaired pump back. Odoo 20 can support this process across Inventory, Repairs, Sales, and Invoicing, provided the workflow is configured to match your operations.
Separate Customer Returns From Odoo Repairs
Customer returns and Odoo repairs are related, but they do different jobs. A return transfer records the physical movement of a product from the customer back into your warehouse. A Repair Order records the technical and commercial work completed on that product.
For the pump in SO0421, warehouse staff begin in Inventory by opening the completed delivery order that originally sent the unit to the customer. They select Return, enter the quantity coming back, confirm the return location, and process the reverse transfer. This creates a traceable inbound movement connected to the original delivery.
When lot or serial tracking is configured, the team can also confirm that the pump arriving at the receiving dock is the same unit that left the facility. That matters when a customer owns several similar pumps, or when warranty coverage depends on the exact serialized product.
The return transfer does not diagnose the fault or decide who pays. It also does not complete the repair or automatically send the item back. We use the Repair Order to document that next stage, including:
- The customer and pump being repaired
- The applicable lot or serial number
- Warranty status and technician notes
- Replacement parts, diagnostics, and labour
- Customer charges where the work is not covered
Standard stock movements should be reviewed. Before putting a workflow into production, we recommend confirming the Return action, wizard fields, locations, and linked records in a live Odoo 20 database. Available buttons and transfers can vary with installed apps, warehouse routes, and configuration.
Follow the Pump From Return to Redelivery
Once the serialized pump is received, the original Sales Order remains the commercial source record. The original delivery and reverse transfer show the outbound and inbound product movements. The Repair Order becomes the record of what happened technically and financially after the product returned.
In Repairs, staff go to Repairs, then Repair Orders, then New. They enter or validate the Customer, Product to Repair, and Lot/Serial Number where tracking applies. The team can also set Under Warranty and add Repair Notes that describe the reported fault and findings from inspection.
In Odoo 20, the Repair Order follows three statuses:
- New: The repair order is created and its details are entered.
- Confirmed: The repair is confirmed and the required components are reserved.
- Done: The repair is completed using the End Repair action, which is available directly from the Confirmed stage.
A clear reference between SO0421, the return transfer, and the Repair Order helps every team follow the same unit. Depending on your configuration, Odoo may not create every relationship automatically, so staff should confirm that the relevant sales, inventory, and repair records are connected or referenced clearly.
Record Parts, Labour, and Customer Charges
Testing may show that the pump’s control board has failed. The technician records the diagnosis in Repair Notes, adds the replacement control board in the Parts tab, and records diagnostic time and repair labour as service products in the Services tab.
Those entries create a useful record of what was consumed and what work was performed. They also help customer service explain the repair and help finance review any billable work. The replacement board must be available for the repair when it is needed, so repair teams should align their process with the spare-parts practices covered in our “Manage Spare Parts and MRO Inventory in Odoo 20” guidance.
The Under Warranty field affects the pricing of parts used in a repair. When the repair is marked as covered by warranty, the customer is not charged for the covered repair parts. Your team must still verify the warranty period, product serial number, coverage terms, and whether labour is included before approving the claim.
If diagnosis finds customer-caused damage rather than a warranty defect, the recorded parts and services can support a quote or billing process. For chargeable work, we recommend confirming:
- Customer authorization before repair work proceeds
- Pricing and tax treatment for parts and labour
- Payment terms and invoice permissions
- Whether a quotation is required by your approval policy
In Odoo 20, a completed Repair Order can be invoiced directly using the Invoice button when a quotation is not required. The invoice includes the billable parts and services recorded on the repair order. Finance should review the draft invoice before posting it.
Connect Repairs to After-Sales Service
A well-managed repair record can support more consistent after-sales service. Customer service teams can refer to the return request, serial number, warranty decision, repair notes, and redelivery status when responding to questions. Over time, this history can also help your team spot recurring issues with a product or component.
Inventory and Repairs provide the core return and repair records, but several capabilities depend on setup. Product tracking must be enabled when you need lot or serial-level traceability. Warehouses need suitable return and repair locations. Customer billing requires the applicable accounting or invoicing configuration, while redelivery and quotations may depend on your Sales workflow.
Odoo Helpdesk can support a wider support process, but it is an Enterprise-only application. Businesses using it may connect tickets with after-sales actions, yet Helpdesk is not required to create a return transfer or process a Repair Order. Automated ticket routing, customer notifications, warranty approvals, customer portal steps, and specialized return authorizations may require additional configuration, integration, or custom development.
Before launch, we recommend validating installed applications, edition availability, tracking settings, repair locations, invoice permissions, and the exact behaviour of linked transfers and redelivery operations in your own Odoo 20 environment. When Helpdesk is part of the process, it can provide useful context.
Put a Controlled Repair Workflow Into Practice
For the faulty pump in SO0421, the desired result is clear: the serialized unit is returned from its original delivery, received through Inventory, repaired through a Repair Order, completed using the available action, billed only when the work is chargeable, and sent back through the proper delivery process.
Before configuration, review warranty rules, warehouse locations, serial-tracking practices, repair pricing, approval controls, and customer-service handoffs. A controlled return-to-repair-to-redelivery process links the original Sales Order, return transfer, Repair Order, component movements, customer charges, and final delivery. Keeping these records connected helps teams trace the pump throughout the service process.
